How to run your event

An operator's guide: what the system does, who signs in, and how to drive it on the day. One platform covers parades, car shows, races, festivals, flea markets, trade shows, food truck rallies and scavenger hunts.

What it is

A real-time tracker for events — like a flight tracker, but for whatever is moving (or sitting in a booth). One system serves three audiences at once, in any phone or computer browser, with nothing to install.

Everything updates instantly for everyone — when a float checks in or a vendor flips to "sold out", every open screen changes on its own within about a second.

Activities & features

Choosing the kind of event sets the wording (“Floats” vs “Vendors” vs “Stops”) and switches on the features that fit it. You can then change any of them in 🧩 Features in the organizer console — toggles take effect on the public screens within a second, no reload.

ActivityComes with
Parade, Car show / cruise, Festival Running order, arrival times, checkpoint check-ins, GPS, People's Choice voting, follow + alerts, announcer notes
Race / marathon / ride The same, minus voting and announcer notes — a race is timed, not judged
Flea market, Corridor / highway sale, Trade show Vendor map, searchable directory, category filters, walking directions, open / busy / sold-out status
Food trucks / retail crawl The above plus menus with prices and photos, and voting for a best-of award
Scavenger hunt / passport Coded stops and a passport each player collects — see below

Turning a feature off removes it everywhere at once — the tab disappears from the header, the buttons go, and the server stops accepting it. Useful when a committee decides two weeks out that there will be no vote this year.

Screen styles

The ☀️ button in any header switches between night, day, daylight (high contrast for bright sun), holiday, autumn, spring and patriotic. It's a personal choice, saved in that browser. Separately, the organizer can set the event colour, which tints every screen for that event on top of whatever style each viewer picked.

Who signs in

RoleSeesCan do
Platform team
you
Every event Everything, plus creating organizer accounts and assigning them to events
Organizer
a chamber
Only their own events Full control of those: setup, lineup, route, features, messaging, sponsors
Participant
float, vendor, racer
Only entries they've claimed Check in, share location, edit their own profile and items
PublicThe public screens Watch. An account is only needed to follow, vote, get alerts or play a hunt

Organizer accounts are created by the platform team — public signup can never create one. Participants get an invite link: every entry has one from the moment it's added, and opening it lets them set a password and take over that one entry in a single step. The organizer never handles anyone's password, and never has to read a code out.

Two ways to track — pick per event

① Manual mode

Participants tap Rolling and then each checkpoint as they pass it. Works on any phone, nothing to keep open, no location sharing. The system schedules arrival times from the planned pace and corrects them as check-ins come in. The reliable default.

② GPS mode

Units share live location from a phone on board. The system snaps each to the route, measures real speed, orders the field automatically and predicts arrivals to the second. More impressive; needs a charged phone with the page open for the whole event.

Switch anytime with the Manual / GPS toggle. A good pattern is manual for everyone and GPS for the few units where it earns its keep.

🎛️ Organizer console

1
Pick or create an event. The dropdown switches between your events; + New creates one. Choose the activity type here — it sets the wording and the starting feature set. Make active chooses which event the public sees.
2
Set the ground. For a procession, 🗺 Edit route — click along the streets, the line snaps to real roads, then drop zones (start, grandstand, checkpoints, finish). For a market, place vendors on the map instead.
3
Build the lineup. Add entries, then reorder them on the 📋 Lineup tab by dragging ⠿ or typing a position — it saves as you go, and it's the sheet you print for the staging area.
4
Send the invites. In ✉️ Invites, press Copy all invites (or download the CSV for a mail merge) and send each participant their link — through whatever you already use to reach them. Opening it is the whole process on their side. Also 💲 grant an ad spot to anyone who bought one.
5
Check 🧩 Features once, before you publicise the link. This is where you decide whether there's a vote, whether arrival times show, whether participants can check in at all.
6
Run it. Press start when it steps off. The master map, the KPIs and the live order update in real time. Use 📣 Send a message to post a notice to the public, to participants only, or to staff only.

Run demo animates the whole field along the route so you can rehearse — or present to a board — with nobody on the street. Reset all puts everything back to the starting state.

🎈 Participant console

Open Participant. You see only your own entries.

📺 The public view

No app to install. Live for a procession, Market for a market, Lineup for the running order.

Which of these appear depends on what the organizer switched on.

🎟️ Scavenger hunts & passports

A hunt is an event whose participants are stops rather than floats. Each stop gets a short code, printed on a sign there. Players collect the codes on their passport and see their progress fill up.

1
Create an event of type Scavenger Hunt / Passport and add each stop as a participant. Put the clue in the stop's Clue detail field.
2
In 🎟️ Hunt codes, press Fill in missing codes. Each stop gets a five-character code. You can replace any of them with a word of your own — filling in missing codes never changes one you've already printed.
3
Print the codes on the signs. Players type them in; a code can't be collected twice, and progress follows the player to another phone because it's tied to their account.
4
Watch the counters at the top of the hunt panel: how many are playing, how many have finished, how many stops have been collected.

Codes are only visible in your console — they're never sent to the public screens. There's no prize-claiming built in: a finisher shows you the trophy screen.

💵 Sponsors & ad spots

Switch sponsorships on for an event and you get two placements on every public screen: a presented by banner at the top, and a strip of sponsor cards. You can sell those yourself, and you can let participants buy their own small ad.

🔑 Passwords

There's no automated email on this system, so password resets are done by a person.

✅ Event-day checklist

  1. Rehearse with the real lineup. Load the actual entries and route, then Run demo and watch it all the way through.
  2. Check 🧩 Features one last time — this is the setting people forget.
  3. Test on real phones at the actual location. Cell congestion in a crowded few blocks will bite long before the server does, and nothing in the software fixes that.
  4. Decide the tracking mode in advance and tell participants which it is.
  5. Have a fallback. If GPS drops, you can check entries in from your own console and the lineup and arrival times keep working.
  6. Print the lineup sheet from the Lineup tab for the staging area.
